At SmartTasks, we are building a privacy-first AI ecosystem designed to give users control over their data. Unlike traditional cloud-based platforms, SmartTasks is built on a "Sovereign-First" architecture, where processing happens locally on your device wherever possible.

This Privacy Policy explains what information we collect, how we use it, and the choices you have when using our products and services (the “Services”).

Our Services include:

  • Browser Extension (Sovereign Mode): A local-first tool that processes data directly on your device without requiring an account.

  • Desktop App & Web Platform (Enterprise Mode): A licensed environment that enables advanced features, synchronization, and access to the SmartTasks Marketplace.

We are committed to minimizing data collection and maximizing transparency. However, certain features—such as licensing, cloud sync, and third-party plugins—require limited data processing as described below.

2. Information We Collect

We collect only the information necessary to provide and secure our Services. This includes:

  • Account Information: Name, email address, and login credentials used to create and manage your account.

  • Device & Licensing Information: Pseudonymous identifiers such as hashed machine IDs and session tokens used to validate licenses and prevent fraud.

  • Billing Metadata: Subscription status and transaction records handled by third-party payment providers.

  • Local Data: Content such as webpage data (DOM), files, or inputs processed locally on your device.

  • AI Decision Traces: Logs generated locally to provide transparency and debugging capabilities.

  • Marketplace Data: Information related to plugin installations, usage metrics, and developer identifiers.

We do not collect or store personal content processed locally unless you explicitly enable a feature that requires it.

3. How We Use Information

We use collected information to:

  • Provide and maintain the Services

  • Authenticate users and validate licenses

  • Prevent fraud and enforce security measures

  • Enable marketplace functionality and plugin distribution

  • Comply with legal obligations

We do not sell personal data and do not use your private content for advertising purposes.

4. Desktop App Licensing & Session Management

When you log into the Desktop App, we create a secure session that connects your device to your SmartTasks account and Web Platform.

  • A hashed device identifier is generated to associate your device with your license.

  • Session tokens are used to securely authenticate communication.

  • Periodic license validation may occur to ensure compliance with subscription terms.

  • Raw hardware identifiers are not stored.

This process is necessary to provide licensed functionality and protect against unauthorized use.

5. Browser Extension (Sovereign Mode)

The SmartTasks extension is designed to operate anonymously by default.

  • All webpage processing occurs locally on your device.

  • No browsing data is transmitted to SmartTasks servers.

  • Audit logs remain stored locally.

You may optionally connect the extension to your Desktop App, in which case limited data may be shared for synchronization.

6. Marketplace & Third-Party Plugins

The SmartTasks Marketplace allows third-party developers to provide plugins that extend functionality.

Because plugins may introduce additional data processing, it is important to understand the following:

  • Plugin developers are generally independent data controllers.

  • Plugins may access and process data based on their functionality and granted permissions.

  • Some plugins may connect to external services outside SmartTasks infrastructure.

  • Each plugin may have its own privacy policy and terms.

Your responsibility: You should review plugin permissions and developer policies before installation.

Our role:

  • We provide a sandboxed execution environment.

  • We enforce technical restrictions and require explicit user interaction for sensitive actions.

7. AI Processing & Transparency

SmartTasks is designed to prioritize local AI processing.

  • Most AI operations occur directly on your device.

  • Cloud-based processing is optional and only activated by user choice.

  • Users can inspect AI decision traces through local audit logs.

  • High-risk actions require explicit user consent.

Zero-Knowledge Qualification:
While SmartTasks is designed to minimize data exposure, certain optional features (such as cloud processing or third-party plugins) may involve controlled data transfer initiated by the user.

8. Data Retention

We retain data only as long as necessary:

  • Local Data: Controlled and managed by the user.

  • Audit Logs: Stored locally (default up to 365 days).

  • Account Data: Retained while your account is active.

  • Billing Records: Retained as required by law.
